Sample Agenda for a Foreign Organization System (FOS) Visit

Day 1

  • 9 to 10 a.m.
    • Introductions
    • Purpose of Survey and Timetable to be followed
    • Brief History of NIAID -- Foreign Grantee Relationships and Interactions
  • 10 to 12 noon: FOS Sections A to B (with Grantee Senior Staff)
  • 12 to 1 pm: Lunch
  • 1 pm to 4 pm: FOS Sections C to G (with Grantee Senior Staff)
  • 4 pm to 5 pm: FOS Team types up reports on sections covered

Day 2

  • 9 to 9:15 am: Clarifications on FOS Sections covered in Day 1
  • 9:15 to 10 am: FOS Sections H and I (with Grantee Senior Staff)
  • 10 to 12 noon: Sections J to M (with Grantee Accounting Staff)
  • 12 to 1 pm: Lunch
  • 1 pm to 2 pm: FOS Sections N to O (with Grantee HR Staff)
  • 2 pm to 4 pm: FOS Sections P to S (with Grantee Accounting Staff)
  • 4 pm to 5 pm: FOS Team types up reports on sections covered

Day 3

  • 9 to 11 am: FOS Team discusses survey and prepares further clarifying questions as needed
  • 11 to noon: Clarifications on FOS Sections; List of documents needed from the Foreign Organization by the Team
  • 12 to 1 pm: Lunch
  • 1 pm to 4 pm: Discussions: Any questions the Organization needs answered by the Team
  • 4 pm to 5 pm
    • FOS Team types up draft final report and discusses recommendations for procedural/policy changes and for training needed by organization
    • FOS Team emails draft report(s) to contractor headquarters for review.
    • The contractor emails back questions, etc.

Day 4

  • 9 to noon: FOS Team provides Organization with draft survey report; discussion on training needs and procedural changes, and adjourns the meeting.
