Sample SBIR and STTR Just-in-Time Correspondence -- NIAID

Dear Dr. Jones:

NIAID is considering the application, entitled [grant title], for funding. In order to complete our administrative review we will need the following information no later than close of business on [date]:

  • Updated 'other support' pages for the PI and all other key personnel.
  • Completion of the attached forms: SBIR/STTR verification form and Evaluation of Financial Management Systems of New Grantees.
  • A profit-and-loss statement, balance sheet, or line-of-credit documentation.
  • A "signed" copy of a lease agreement - per the requirements of the SBIR/STTR program the applicant organization must qualify as a small business concern "at time of award". To qualify as a small business concern, the research space occupied by an SBIR/STTR awardee organization must be space that is available to and under the control of the SBIR/STTR awardee for the conduct of its portion of the proposed project. Therefore, we need a copy of a signed lease agreement --"at time of award".
  • IRB or IACUC approval(s) for the use of human subjects or animals
  • In accordance with the policy outlined in the NIH Guide, June 5, 2000, entitled [grant name], all key personnel on a grant which involves human subjects research must receive training in the protection of human subjects. You are required to submit to our office prior to award a letter signed by both you and your business office, outlining the training received. Please contact the DHHS Office for Human Research Protections (OHRP) to begin the process of negotiating a Federalwide Assurance (FWA) for the use of human subjects in research. http://www.hhs.gov/ohrp/
